Position Overview: Sponsored Research Administrator
The Sponsored Research Administrator supports the Engineering Research Accelerator, a vital unit that manages complex, multi-disciplinary research programs within the College of Engineering.
This role is ideal for a proactive and detail-oriented professional who thrives in a fast-paced environment, excels in multitasking, and is passionate about supporting cutting-edge research.
As a key member of the Research Administration Support Team, you will assist faculty, the Associate Dean of Research, and the Director of Research Initiatives in managing project logistics, documentation, communications, and compliance.
Key Responsibilities
🔬 Research Program Administration
- Assist Principal Investigators and Project Managers with timelines, resource allocation, and milestone tracking.
- Prepare project deliverables, slides, and technical documents.
- Maintain program websites and draft communications for project teams, sponsors, and stakeholders.
- Serve as a liaison between CMU research teams and external sponsors.
- Facilitate project documentation through digital tools, databases, and management software.
- Ensure compliance with IRB, IACUC, export controls, and clinical trials regulations.
- Support calls for research proposals, manage submissions, and coordinate reviews.
- Assist in developing research-related policies and procedures.
🗓 Meetings, Events, and Communication
- Schedule and manage key meetings, workshops, and events with internal and external collaborators.
- Prepare and distribute meeting notes, ensuring all action items are clearly tracked.
- Plan symposiums, proposal meetings, and conferences — handling logistics such as catering, travel, and agenda preparation.
- Provide calendar management for supported projects.
- Facilitate communication between research initiatives and CMU’s administrative departments.
💰 Administrative and Financial Tracking
- Support the Research Administration Team with grant processing and financial tracking.
- Maintain budget and personnel documentation for active research programs.
- Assist in processing agreements and post-award management tasks.
Qualifications and Experience
Minimum Education:
- Bachelor’s Degree in a STEM field required
- Master’s Degree preferred
Experience:
- 3–5 years of project management or research administration experience
- Experience with clinical trials is a plus.
- Equivalent combinations of education and experience may be considered.
Other Requirements:
- Successful background check
- Strong communication, organizational, and interpersonal skills
- Ability to handle confidential information with integrity
